2. Who does this statement apply to?

This statement applies to everyone whose personal data Grow Video processes:

  • visitors of growvideo.nl

Personal data is any information that says something about you as a person or can be traced back to you, such as your name, email address, IP address or your face and voice on camera.

3. Which data do we process, why and for how long?

We only process data we need for a specific purpose. You provide it to us yourself, through our contact form, the scheduling tool, email, phone, LinkedIn or during an assignment. Sometimes we find business contact details in public sources such as a company website or LinkedIn.

When a retention period ends, we delete or anonymise your data. Grow Video does not use automated decision-making or profiling with legal effects for you.

Are you required to provide data? No, unless you become a client. Without your name, company details and billing details we cannot enter into an agreement or send invoices; that data is required by law and by contract. Everything else you provide voluntarily. If you don't provide something, we may sometimes be less able to help you with that particular matter, but it has no other consequences.

Recording video calls. We record introductory and strategy calls with Fireflies.ai. This is always done visibly: Fireflies joins the call as a participant and we ask at the start whether you agree. Fireflies turns the recording into a transcript and an automatic summary, so we don't miss anything you tell us. If you don't want to be recorded, just say so. We turn off the recording and the call simply continues. You can also ask afterwards for the recording, transcript and summary to be deleted.

AI tools. We use AI from Fireflies.ai to process calls. At Grow Video, AI does not make decisions about you; we only use it as a tool and check the results ourselves.

4. Are you on camera?

Grow Video makes videos, so your face, voice, name and job title may appear on screen. How we handle that depends on who the video is for.

Videos for a client. When we make a video commissioned by a company, that company decides what the footage is used for. The company is then responsible for the processing and Grow Video acts as a processor on its behalf. If you want to know how the company handles the video, or want to be removed from it, please contact that company. We will of course help the company with this.

Consent in advance. We ask everyone who appears recognisably and knowingly on camera for consent in advance, usually through a short consent form (quitclaim). It states what the video is intended for and how long it will be used. When we film at an event or in a public place, we make this clear on the spot and you can indicate that you don't want to be filmed.

Portfolio. We may show videos we have made on growvideo.nl and our social media as examples of our work, but only if the client agrees. If you appear in a video and don't want that, let us know. We will then remove the video or make you unrecognisable.

Sensitive data on camera. Sometimes a video reveals something about a person's health, religion or other sensitive matters, for example a patient at a healthcare practice. We only film this with that person's explicit, written consent, and we don't use that footage in our portfolio unless this has been agreed separately.

Retention periods. We keep raw footage for up to 1 year after delivery, so we can still make changes. After that we delete it, unless we have agreed otherwise with the client. We keep delivered videos for as long as they are in our portfolio or for as long as the agreement with the client runs.

Withdrawal. You can always withdraw your consent. For videos that have already been published, we will adjust what can reasonably be done as soon as possible. What you approved earlier and has already been shared cannot always be retrieved everywhere.

5. Who do we share your data with?

We never sell your data. We only share it when this is necessary for our work or required by law. With parties that process data on our behalf, we conclude a data processing agreement or use their standard data processing terms.

Our social media. Grow Video is active on LinkedIn, Instagram, TikTok and YouTube. If you follow us, comment or send a message, those platforms also process your data, under their own privacy policies. We are jointly responsible with the platform for the statistics of our pages. You can direct questions about this to us or to the platform.

6. Does your data leave Europe?

We process your data within the European Economic Area (EEA) as much as possible. Some services we use, such as Google, Calendly, Dropbox, Notion, Meta and Fireflies.ai, are American companies. As a result, data may end up in the United States.

This only happens with appropriate safeguards: the party is certified under the EU-US Data Privacy Framework, or we work with the European Commission's standard contractual clauses. If you want to know which safeguard applies to which party, please contact us.

7. Which cookies do we use?

A cookie is a small text file that your browser stores when you visit our website. On your first visit, you choose through the cookie banner which cookies you allow. We only place functional cookies without consent; they are needed to make the website work.

8. How do we protect your data?

We take technical and organisational measures against loss, theft and misuse of your data. For example, we use:

  • a secure connection (SSL) on the website
  • two-step verification and strong passwords on our accounts
  • encrypted cloud storage instead of separate hard drives where possible
  • access for freelancers only to the folders and files of their own assignment

If something does go wrong with your data, we report it to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) within 72 hours where required, and we let you know if the risk to you is high.

9. What are your rights?

The GDPR gives you these rights:

  • Access: you may ask which data we hold about you.
  • Rectification: if your data is incorrect, we will correct it.
  • Erasure: you may ask us to delete your data. Data we are legally required to keep, such as invoices, is only deleted once that period has ended.
  • Restriction: you may ask us to temporarily stop using your data.
  • Portability: you receive your data in a common digital format, so you can take it to another party.
  • Objection: you may object to processing based on legitimate interest, such as acquisition. For direct marketing, we always stop immediately.
  • Withdrawing consent: if you have given consent, you can always withdraw it. This does not apply retroactively.

How to submit a request. Use the contact form or call +31 6 50602103. We respond within one month. If your request is complex or we receive many at the same time, this may take up to two months longer; we will let you know within the first month. To make sure the request comes from you, we may ask you to confirm your identity. A copy of your ID is usually not needed for this.

Complaints. If you are not satisfied with how we handle your data, please let us know first so we can solve it together. You also always have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

10. Minors

Grow Video focuses on businesses, not on children. If you are under 16, you need permission from a parent or guardian before giving us any data. If we film someone under 16, we always ask a parent or guardian for written consent in advance.

11. Changes and contact

We update this statement when our work or the law changes. The date of the last change is always shown at the top. In case of major changes, we actively inform clients and subscribers.

Questions about this statement or about your data? Use the contact form or call +31 6 50602103.
